INFORMATION I COLLECT
Depending on how you interact with me, I may collect:
• Your name, address, email address and telephone number.
• Wedding details, including the date, venue, timings, schedule, package and photography requests.
• Messages, enquiries, meeting notes, contracts, invoices and payment records.
• Names supplied for requested group photographs and the contact details of a nominated wedding-day contact.
• Photographs and video captured while providing my services. These may include the couple, guests and children attending the event.
• Information you choose to share about access needs, health, family circumstances or other requirements where it is relevant to planning safe and suitable coverage.
• Technical information collected when you use my website, such as device, browser, IP address and cookie information.
I normally receive information directly from you. I may also receive relevant wedding details from your partner, venue, planner or another supplier acting on your behalf.
INFORMATION NEEDED TO PROVIDE MY SERVICES
To respond to an enquiry and manage a booking, I need certain information such as your names, contact details, wedding date, venue and relevant planning information. Some details are required to enter into and fulfil the photography contract. If this information is not provided, I may be unable to confirm the booking or provide the agreed services.
HOW I USE YOUR INFORMATION
I use personal information to:
• Respond to enquiries and check availability.
• Discuss, prepare and manage your booking.
• Provide photography and any agreed extras.
• Communicate before, during and after your wedding.
• Edit, deliver and support your online gallery and ordered products.
• Take payments, keep accounting records and meet legal obligations.
• Protect my equipment, website, business and legal rights.
• Improve my service and website.
• Use selected photographs for my portfolio or promotion only where the appropriate optional permission has been given.
MARKETING COMMUNICATIONS
I do not currently send promotional or marketing emails. I use contact details only to respond to enquiries, manage bookings, provide my services and handle related administration. If this changes, I will update this notice and obtain any consent required.
AUTOMATED DECISION-MAKING
I do not use automated decision-making or profiling that produces legal or similarly significant effects.
MY LAWFUL BASES
UK data protection law requires me to have a lawful reason for using personal information. Depending on the circumstances, I rely on:
• Contract – where information is needed to take steps at your request before a booking or to provide the agreed service.
• Legitimate interests – to run and protect my photography business, communicate effectively, document the event, improve my services and respond to concerns, where those interests are not overridden by your rights.
• Legal obligation – for tax, accounting and other records I am required to keep.
• Consent – where I ask for optional permission, including the promotional use of selected wedding photographs. Consent may be withdrawn for future use at any time.
If sensitive information is shared with me, I will use it only where necessary and with an appropriate additional lawful condition, such as your explicit consent or the protection of someone’s vital interests.
PHOTOGRAPHS OF GUESTS AND CHILDREN
Wedding photography naturally records people attending the event. I use reasonable judgment and respect specific privacy concerns. Promotional use is separate from delivering the photography service and is optional. If you or a guest has a particular concern, please tell me as early as possible so I can consider what is reasonably practicable.
WHO I SHARE INFORMATION WITH
I do not sell personal information.
Where necessary, I may share limited information with trusted providers that help me run the business, such as website and online-gallery hosting, secure storage and backup services, email and communications providers, payment processors, accountants, printing or album laboratories and professional suppliers such as an agreed second photographer, content creator or drone pilot.
I may also share information where required by law, to protect someone’s safety, to establish or defend legal rights, or as part of a business transfer. Each provider receives only the information reasonably needed for its role.
INTERNATIONAL DATA TRANSFERS
Some technology providers may process information outside the United Kingdom. Where this happens, I take reasonable steps to use providers that apply an approved safeguard or another lawful transfer mechanism.
HOW LONG I KEEP INFORMATION
I use the following retention periods as a practical guide:
• Unsuccessful enquiries: 12 months after the last contact.
• Group lists and temporary wedding-planning details: 12 months after the wedding.
• Contracts and booking correspondence: 6 years after the wedding or completion of my services.
• Invoices, payment information and accounting records: 6 years after the end of the relevant tax year.
• Online galleries: normally available for at least 12 months after delivery.
• RAW files and unselected images: 12 months after final delivery.
• Delivered edited photographs and working backups: 2 years after final delivery. Couples should download their photographs promptly and keep their own secure backups.
• Photographs selected for my portfolio or promotion: for as long as they remain reasonably useful for that purpose, provided the appropriate optional permission remains in place. I review these periodically, and permission may be withdrawn for future use.
• Website and cookie information: for the periods set by my website and relevant service providers.
Where reasonably possible, supplier and system backups are removed through their normal deletion cycle, typically within 90 days after the primary copy is deleted. I may keep relevant information for longer where required by law or while a complaint, insurance matter or legal claim is being handled. Once information is no longer needed, I will securely delete or anonymise it where reasonably practicable.
HOW I PROTECT INFORMATION
I use reasonable technical and organisational measures appropriate to a small photography business. These include professional systems, access controls and proportionate backup arrangements. No internet or storage system can be guaranteed completely secure, but I take the care of your information seriously.
YOUR RIGHTS
Depending on the circumstances, you may have the right to:
• Ask for a copy of your personal information.
• Ask me to correct inaccurate or incomplete information.
• Ask for information to be deleted.
• Ask me to restrict how information is used.
• Object to processing based on legitimate interests or to direct marketing.
• Ask for information you supplied to be transferred in a portable format.
• Withdraw consent at any time where consent is the lawful basis.
These rights are not absolute and an exemption may apply. I may need to confirm your identity before acting on a request. Please contact me using the details above.
